Request Ageing Report

Overview

The Request Ageing report is a great tool for gaining insights into the trend of procurement timelines within your organization. It not only sheds light on the efficiency of procurement activities.


Furthermore, it sheds light on opportunities for enhancing your procurement process by providing you with visibility on the time taken to complete a specific stage. You can access the duration for obtaining approvals or negotiating a tool. Additionally, by considering negotiation timelines, you can submit requests well in advance to ensure they are processed on time and prevent any potential delays. 



Steps to get the Request Ageing Report

To access and utilize the Request Ageing Report, follow these steps:


1. Open the Reports tab from the Navigation menu



2. Once you open the Reports page, you will land on the Procurement Analysis section within Buying Hub reports. Click on Request Aging to open and analyze the report.



3. After you select the "Request Ageing” report, you will be presented with the report screen. The report will consist of the following components:


Ageing Trend Line: This section displays a month-on-month average timeline of Requests in different stages, allowing you to track how requests age over time.  

X axis : Month

Y axis : No. of days

  • Avg. Completion Time tells the user the avg. no. of days taken to complete a procurement request in a month (from submission to completion)
  • Avg. Negotiation Time tells the user the avg. no. of days taken to negotiate a procurement request in a month (from negotiation to approval) 
  • Avg. Approval Time tells the user the avg. no. of days taken to get an approval in a month (from approval to completion)


Table: The bottom table will list the details of all your Requests, their current status, requester details, date of request, date of completion, dates of negotiation starting, date of approvals requested  etc., which will effectively give you an idea of the timelines of the procurement.



4. If you need a more detailed view of the report, you can expand it by clicking on the name of the report in either the pipeline or the table to expand and view it in full screen.




Points to note:


  • During request completion, if certain steps (such as negotiation) are not captured on the product and done offline then such requests will not be considered while computing the above metrics.
  • Avg. negotiation time and avg. approval time is not captured for legacy requests i.e. requests raised before May '23. Only avg. completion time is available for legacy requests.
